A detail-oriented, thorough, and organized admin/procurement staff by performing general administrative duties and ordering equipment and materials for their department. In this position, you will play a key role in procuring high-quality and cost-efficient supplies for the organization, keeping records updated, storing documents and solving order issues. Following procurement procedures, maintain an updated list of current and incoming inventory, and be responsible for approving purchases.

Duties and Responsibilities

  • Procurement - All purchases for office, facility and property needs.
  • Manage the Procurement Process and the Supply Base Efficiently and Effectively
  • Purchases materials, tools and supplies by obtaining requirements from the operations; responsible for negotiating the price, quality and delivery.
  • Work with Managers and Fleet SMEs to understand business needs and identify potential solutions.
  • Oversee procurement to distribution, optimizing processes to meet customer needs, including local purchase execution and tracking.
  • Partner with cross-functional teams to gather information for bid proposals.
  • Support in the development of bid documentation, including Requests for Information/Proposals/Quotations (RFI/RFP/RFQ).
  • Create and maintain good relationships with vendors/suppliers and updating supplier information.
  • Monitoring and purchasing mobile prepaid and postpaid plans
  • Procurement of vehicle (i.e. motorcycle, shuttle, etc.)
  • Negotiating and assists with reviewing lease contracts of the offices, tracks the rent increases, and the go to person for any administrative support in tenant relations
  • Knowledge in Document Control System (i.e. Transmittal of Confidential Documents /Permits)
  • Closely monitors all requests from other departments and timely forwards or coordinates the same to concerned parties/employees for timely processing and proper documentations.
  • Estimate and establish cost parameters and budgets for purchases. Records the office expenditures and works within the given budget; submits information for budget preparation, scheduling expenditures, monitoring costs, analyzing variances; develops budget recommendations for operating expenditures.
  • Ensures timely processing and releasing of all requests
  • Performs other duties assigned by immediate superior
  • Make professional decisions in a fast-paced environment.

Requirements and Qualifications

  • Bachelor's Degree in Purchasing/Supply Chain Management/ Business Administration or any related field
  • Solid knowledge and understanding of procurement processes, policy, and systems
  • At least two years of experience as a procurement specialist or related position
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
  • Ability to analyze problems and strategize for better solutions
  • Ability to negotiate, establish, and administer contracts
  • Excellent verbal and written communication skills
  • Ability to multitask, prioritize, and manage time efficiently
  • Accurate and precise attention to detail
