I. JOB IDENTIFICATION

Position Title : Procurement Specialist

Job Classification : Supervisory

Report to : Procurement Manager

Supervises : None

II. JOB PURPOSE :

Responsible for procurement functions including proper canvass of assets and supplies needed by different company units.

III. ACCOUNTABILITIES :

Supplier Management

  • Conduct sourcing and evaluation based on set criteria of potential suppliers for all non-trade items needed by various departments of the company.
  • Follow supplier accreditation guidelines promulgated by the company.
  • Shortlist potential suppliers for regular items being maintained in stock and those suppliers for other items by type of offerings.
  • Gather supporting documents needed for the evaluation and accreditation of suppliers.
  • Maybe required to participate in ocular inspection of suppliers' manufacturing facilities/store when necessary.
  • Prepare initial evaluation of the suppliers.
  • Recommend accreditation of supplier to Procurement Manager
  • Monitor and evaluate supplier performance and recommends replacement, delisting and retention of regular suppliers.

Assets and Supplies Procurement Management

  • Canvass items within specifications from accredited suppliers that offer the lowest prices and best terms.
  • Assist superior in negotiating the best price, discounts, payment, delivery, and service items with the suppliers.
  • Receive, countercheck and process approved Purchase Requisitions(PR).
  • Prepares Purchase Order (PO) and assists in the processing of payments when necessary.
  • Receive and check items delivered to ensure that it is within specifications and costs, have PO's, and all the required supporting documents, and have been delivered timely.
  • Coordinate with the requisititioner if necessary for inspection.
  • Follow up when necessary, orders made with suppliers and coordinates with the requisitioning department the status of items requested.
  • Assist in negotiating claims, returns, or replacement of defective supplies, materials, equipment, and other assets received.
  • Handle transmittal/delivery of items to store in coordination with the administrative department.

Others

  • Participate in periodic and annual cyclic count of inventory in the store when necessary and as directed by the superiors.
  • Perform other related duties as may be assigned from time to time

IV. MINIMUM JOB REQUIREMENTS

  1. Education / Professional Experience

  2. Graduate of a 4 year course

  3. With at least 2-3 years of work experience preferably in the filed of general office procedure and purchasing works

  4. Knowledge / skills/ Abilities

  5. Ability to maintain adequate and efficient filing system

  6. Flexibility , decision making and analytical thinking
  7. Interpersonal and Communication skills
