Job Description
As a Mortgage Loan Specialist, you'll manage borrower communication, process documentation, track loan milestones, prepare disclosures, coordinate third-party orders, and support closing activities - ensuring each file moves accurately and efficiently from pre-application to post-closing.

The Qualifications We Seek
- 3 years of experience in mortgage processing, loan operations, or sales support
- Proficiency with Encompass LOS and CRM tools
- Strong understanding of the mortgage loan lifecycle and disclosures
- High attention to detail, strong organizational and multitasking skills
- Excellent verbal and written communication
- Comfortable working independently in a fast-paced, deadline-driven environment
Preferred Skills
- Familiarity with RESPA and compliance procedures
- Experience managing borrower relationships and partner communication
- Social media management and CRM reporting knowledge a plus
- Flexible, adaptable, and able to adjust responsibilities as business needs shift
Your Daily Tasks
Borrower & Referral Partner Communication
- Serve as a primary point of contact during pre-application and post-closing stages.
- Explain disclosures, loan timelines, and closing disclosures (CDs) to borrowers.
- Collect missing documentation and maintain consistent communication on next steps.
- Send thank-you notes to borrowers and referral partners post-closing.
- Support realtor engagement through weekly updates and follow-up for reviews.
Pre-Application & Post-Closing Client Interaction
- Collect, review, and organize borrower documentation.
- Create pre-approval letters after LO qualification and verify file accuracy.
- Request Letters of Explanation (LOX) for unusual deposits or credit issues.
- Confirm borrower consent and application readiness.
Loan Data Entry & System Management (Encompass)
- Enter all borrower, property, employment, and contact data into Encompass.
- Upload, label, and organize all supporting documents accurately.
- Monitor the pipeline daily to track key deadlines, lock expirations, and milestone movement.
- Maintain accurate updates in YBR and lead trackers with detailed notes.
Loan Process & Operational Support
File Intake & Processing
- Review pre-approval files for completeness and qualification.
- Monitor shared inboxes for incoming documents and client communications.
- Organize files for submission with a goal of "Clear to Close" readiness.
- Re-run AUS and update system fields as needed.
Disclosure & Compliance Coordination
- Prepare and send RESPA-compliant initial disclosures.
- Manage re-disclosures based on file or fee changes.
- Track and collect signed disclosure packages and application fees.
- Ensure accuracy of Loan Estimates, fees, and disclosure timelines.
- Run Mavent and Fraud Guard checks and verify property addresses via USPS.
Third-Party Orders & Title Coordination
- Order and follow up on appraisals, VOEs, VOMs, payoffs, insurance, and title.
- Follow up persistently (minimum 4 times) to obtain required documentation.
- Collect all third-party invoices to ensure closing disclosure accuracy.
Underwriting & Closing Support
- Submit complete files to underwriting and manage borrower expectations.
- Assist in satisfying conditions with the Mortgage Consultant.
- Coordinate final fee and CD review with the Closing Coordinator.
- Submit to CD Desk and ensure timely and accurate CD generation.
- Manage Clear to Close communication and update final workflows.
VP Support & Administrative Tasks
- Keep VP organized through calendar support, time-blocking, and daily priorities.
- Assist with preparation for pipeline meetings and status reviews.
- Update, extend, or change investor locks via Commitment Desk when needed.
- Track and approve CDs for closing.
- Support referral partner reporting and social media engagement as needed.
