KEY RESPONSIBILITIES

  • Support the Department Officer in executing daily administrative tasks, including scheduling, inquiry handling, follow-ups, and progress tracking, ensuring timely and accurate completion
  • Professionally manage the flow of information and office traffic, including emails, calls, appointments, and coordination with internal and external stakeholders. Ensure all business documents and transactions are properly created, filed, and documented.
  • Gather and report relevant marketplace data; support customer profiling and structured folder creation for documentation and reference
  • Respond to customer and supplier inquiries in coordination with the Sales Officer, ensuring requirements and timelines are met.
  • Support the preparation and consolidation of cost estimates and supplier quotations; coordinate with Purchasing and other relevant departments to ensure completeness and accuracy
  • Assist in the creation and organization of mock/sample designs aligned with customer specifications and branding standards
  • Facilitate interdepartmental communication by coordinating emails, calls, appointments, and meetings with vendors, clients, and internal teams
  • Ensure timely dissemination of updates and maintain clear communication channels across departments
  • Support the preparation of project timelines, progress reports, and action steps in alignment with operational goals
  • Monitor and follow through on customer requests and supplier deliveries to ensure alignment with project schedules and service standards
  • Submit daily status reports to immediate superior, summarizing task progress, customer interactions, and pending items

SKILLS, QUALIFICATIONS AND KNOWLEDGE

  • Strong written and verbal communication skills, especially in professional email correspondence and client-facing interactions
  • Confident in handling customer inquiries, complaints, and feedback with empathy and professionalism
  • Proficient in preparing and analyzing sales reports, tracking performance metrics, and supporting strategic decisions
  • Experienced in order processing, from receipt to invoicing and dispatch, ensuring accuracy and timeliness
  • Able to interpret sales data and generate actionable insights for team reporting
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint); able to create templates, trackers, and report
  • Capable of managing multiple tasks and priorities under tight deadlines without compromising accuracy
  • Flexible to work outside traditional schedules when needed, especially during peak sales periods or urgent coordination

Job Type: Full-time

Pay: From Php18,070.00 per month
