Role Summary

We are hiring a detail focused Payroll Specialist to help process accurate, on time payroll for a high volume, multi location workforce. You will manage end to end payroll cycles, validate inputs from timekeeping systems, reconcile variances, and coordinate with HR, Finance, and Operations. The ideal candidate has strong multi state payroll experience, excellent Excel skills, and thrives in a deadline driven environment.

Key Responsibilities

  • Prepare and process semi monthly and weekly payrolls for a high volume hourly and salaried workforce across multiple states

  • Validate timecards and imports from timekeeping systems; resolve exceptions, missed punches, and approvals

  • Maintain employee records and pay data including new hires, terminations, promotions, rate changes, and tax settings

  • Review and audit payroll registers prior to commit; investigate variances and correct errors

  • Calculate retro pay, prorations, differentials, overtime compliance, tip credits, and special premiums as applicable

  • Process garnishments, wage attachments, and other statutory deductions

  • Coordinate with HR on benefits enrollments and payroll related changes; ensure accurate deductions for medical, dental, vision, HSA, FSA, and 401k

  • Prepare funding files, submit payroll, and reconcile confirmations, net pay, and taxes

  • Support multi state tax setups, unemployment rates, and agency registrations in partnership with the client team

  • Produce payroll and headcount reports for Finance and Operations; assist with GL mapping and reconciliations

  • Respond to employee payroll inquiries with empathy and accuracy while maintaining confidentiality

  • Assist with quarterly and year end processes including W 2 review support, tax filings coordination, and audits

  • Document procedures and propose improvements to streamline the payroll cycle and reduce rework

Qualifications

  • 3 plus years of hands on payroll experience for U.S. companies with multi state footprints

  • Experience supporting hourly, non exempt workforces at scale in restaurants, hospitality, retail, or similar

  • Strong working knowledge of wage and hour rules including overtime, meal and rest periods, and tip handling

  • Proficiency with a major payroll platform and timekeeping system such as ADP, Paylocity, Paycom, UKG, or Workday, plus Excel or Google Sheets

  • High attention to detail, confidentiality, and accuracy under tight deadlines
