Key Responsibilities:
  • Provide day-to-day administrative and operational support to ensure seamless business workflows.
  • Prepare, review, and maintain essential documents, contracts, and reports.
  • Organise and manage data across internal systems, ensuring accuracy and accessibility.
  • Liaise with subcontractors, suppliers, and internal teams to coordinate tasks and resolve issues.
  • Support order processing and work order management using Simpro and other tools.
  • Track and follow up on outstanding client requests, tasks, and subcontractor deliverables.
  • Input and manage client and project data in HubSpot CRM.
  • Assist with scheduling, project timelines, and monitoring deadlines.

Minimum Qualifications & Skills:
  • Excellent organisational and multitasking skills, with a sharp eye for detail.
  • Strong written and verbal communication abilities.
  • Proficiency in Google Workspace (Docs, Sheets, Drive) and Microsoft Office tools.
  • Hands-on experience with Simpro, Zoho or similar work order management platforms.
  • Familiarity with HubSpot CRM for tracking clients and managing project data.
  • Comfortable coordinating with subcontractors, suppliers, and internal stakeholders.
  • Background in project coordination, operations support, logistics, or work order management.
