Job Title: Senior Administrative Associate (Remote – Property Management Support)

Streamline Property Management is one the largest and fastest-growing and professional property management firms located in the Washington D.C. area in the US. We are a third-party property manager that manages properties owned by our clients and handle everything from securing tenants and rent collection to maintenance and repairs. We pride ourselves on efficiency, excellent client service, and leveraging technology to simplify the rental process. We are looking for a dedicated and meticulous Remote Senior Administrative Assistant based in the Philippines to join our operations team. As an entrepreneurial company, we value teamwork, initiative, and long-term growth of our people.
The Role
We are seeking an organized, detail-oriented individual to provide crucial remote support to our property management team. This is a full-time position (40 hours per week) requiring work during US Eastern Time (EST/EDT) business. The successful candidate will be responsible for a variety of critical back-office functions, ensuring the smooth operation of our property management processes. We're looking for a Senior Admin Associate to work as an extension of our existing team and support all aspects of our operational work for client management.
Responsibilities
Responsibilities will vary, but largely include the following -
Process and Project Management
- Oversee and support various processes related to property management operations, including building out and executing on SOPs on leasing, maintenance and office administration.
- Review basic spreadsheets, work documents and emails to support projects tied to client execution. Example projects in the past have included onboarding new clients, supporting a process change to reporting, entering data into an external database, etc.
Data Entry & System Support
- Perform accurate data entry within our property management system and other software (e.g., AppFolio, QuickBooks).
- Assist property managers by accurately filling out various forms, lease documents, and internal checklists.
- Organize and maintain digital files, ensuring all records are up-to-date and easily accessible.
Bookkeeping & Financial Support
- Accurately enter and process invoices, bills, and expense receipts into the accounting module of our system.
- Ensure all vendor and owner payment information is current and correct.
Operations & Vendor Coordination
- Manage utility address changes and service transfers for properties during tenant transitions.
- Act as a point of contact for routine follow-up with vendors and contractors regarding invoice status, work order completion, and documentation.
- Execute standard operating procedures for various property lifecycle tasks.
- Manage email correspondence related to vendor and administrative follow-up.
Office Administration
- Maintain organized digital files and records in Google Workspace
- Collaborate with our US team via Slack and email
- Perform other back-office administrative tasks as assigned
Qualifications
- 4+ years of experience in administrative or office support roles (e.g. data entry, virtual assistant, bookkeeper)
- University degree in business administration, accounting, finance, or related field
- Strong organizational skills and high attention to detail
- Comfortable working with spreadsheets (basic Excel/Google Sheets)
- Experience with Google Workspace (Docs, Sheets, Drive) and communication tools like Slack
- Great written and spoken English communication skills
- Prior experience working in an international office environment, supporting administrative functions
- Prior experience in property management or bookkeeping is a plus, but not required
- Ability to work independently, stay organized, and manage multiple tasks
- Ability to reliably work 40 hours per week on a US Eastern Time (EST/EDT) schedule.
- Reliable internet connection and a quiet home working environment
Compensation & Schedule
