The main purpose of this role is to free up our core team so they can focus on on-site client work and business development, while you play a vital role in keeping our systems sharp, our marketing effective, and our CEO laser-focused.

We need a talented individual to own our Go High Level and Markate CRM and ensure that our lead management, client communications, and team accountability are on point. If you thrive on creating structure and are an independent problem-solver, you'll fit right in.

What You'll Own and Optimize

  • Client Management & Scheduling: You will be the friendly first point of contact for new and existing clients via phone, text, email, and social media. You'll efficiently schedule appointments for our handyman teams and proactively follow up with clients who have received an estimate to check in and answer any questions.
  • CRM & Lead Management (Go High Level & Markate): You will own and optimize our Go High Level and Markate CRM, including pipelines, automations, and workflows. You'll build and maintain dashboards tracking lead flow, conversion rates, and follow-up status to ensure no lead or client falls through the cracks.
  • Marketing & Brand Visibility: You will create engaging posts for Facebook, Instagram, and Nextdoor, using photos and videos of our completed projects to help grow our local online presence. You will also create and manage email marketing campaigns to engage clients, keeping them informed about our services and promotions. You will actively monitor and respond to messages and comments on social media to build relationships and qualify potential clients.
  • Executive & Administrative Support: You will keep digital records and communications organized, manage the CEO's calendar, prep materials for meetings, and track to-dos. You'll ensure key follow-ups and deliverables are completed on time, maintaining a clear view of team priorities.
  • Communication & Accountability: You will lead weekly check-ins with our sales team, provide task reminders, and alert the CEO to any bottlenecks or wins.

What We're Looking For

  • Experience: You have 2+ years of experience in a virtual assistant, CRM coordinator, or marketing support role.
  • CRM Expertise: You have strong, hands-on experience with Go High Level CRM.
  • Communication Skills: You are a natural at friendly and clear written and verbal communication.
  • Organizational Skills: You are a proactive and organized individual with a strong eye for detail and the ability to manage multiple tasks independently.
  • Positive Attitude: You are a self-motivated, culturally aware, and respectful team member who thrives in a remote environment.
  • Tech Proficiency: You have solid experience with digital communication tools and social media management.
  • Work Style: You are an independent problem-solver who communicates clearly, loves creating structure, and performs well in a fast-paced, remote-first environment.

This is a fully remote position in the Vancouver B.C. Canada - Pacific time zone. This is part-time to start, with a clear path to full-time based on mutual fit. Compensation is a competitive hourly rate or monthly retainer based on experience, with performance-based bonuses available.
