One of our clients is seeking a detail-oriented and customer-focused Sales Support / Procurement Specialist to provide administrative and operational support to our sales team. This individual will work closely with account managers, distributors (e.g., Ingram Micro, Dicker Data, Bluechip), and vendors (e.g., Lenovo, Microsoft, Palo Alto, HPE, Juniper) to ensure smooth quoting, ordering, and fulfillment processes.
The primary responsibility of this role is to empower the client's sales staff to focus on generating new business by delivering backend quoting and coordination functions.
Work Schedule: Mon – Fri, 6:00 AM – 3:00 PM PHT
Key Responsibilities:
- Provide day-to-day support to the sales team in handling quotes, proposals, and orders.
- Liaise with distributors and vendors to obtain pricing, availability, deal registration, and product information.
- Create and manage quotes using IT Quoter (training provided).
- Draft sales proposals or scopes of supply, including assembling vendor documentation.
- Perform initial reviews of tenders to determine quote viability (based on predefined rules).
- Maintain accurate CRM records related to quotes, pipeline stages, and customer interactions.
- Coordinate with logistics and operations to monitor procurement and delivery timelines.
- Support onboarding of new customers, vendors, or suppliers into internal systems.
- Contribute to team process improvements and drive sales operational efficiency.
- Communicate vendor product updates, promotions, or changes to the sales team.
- Collaborate with the finance team to ensure proper billing and invoicing references.
- Participate in internal sales and staff meetings, as well as vendor/distributor calls.
Typical Tasks:
- Build, revise, and maintain quotes using IT Quoter.
- Submit and track vendor deal registrations and quote approvals.
- Request and follow up on pricing and availability from distributors/vendors.
- Respond to quote requests from account managers promptly.
- Ensure consistency and accuracy in quote templates and documentation.
- Track sales orders, purchase orders, and invoicing through the full cycle.
- Monitor order statuses, including backorders and delays.
- Organize and manage renewal quotes for licensing, subscriptions, or hardware.
- Verify quote profitability and sufficient margins.
- Ensure SKUs and product configurations (e.g., hardware specs) are accurate.
- Track expiring quotes and pricing; follow up as needed.
- Support internal reporting (quote volume, win/loss ratios, etc.).
- Assist account managers with pre-sales administrative support.
Qualifications:
- Substantial Experience working in a sales support, procurement, or administrative role within IT or MSP environment.
- Competence in quoting tools and CRM systems.
- Happy to work in a fast-paced sales environment.
- Familiarity with distributors like Ingram Micro, Dicker Data, Bluechip.
- Experience working with or around vendors like Microsoft, Lenovo, HPE, Juniper.
- Excellent written and verbal communication skills.
- Strong attention to detail and process orientation.
Nice to have:
- Experience with IT Quoter software
- Experience working with/under a BDM and/or account manager
