An Administrative Assistant provides crucial support to company's operations by handling a wide range of administrative and clerical tasks. This role involves managing schedules, purchasing supplies, preparing documents, assisting with project tracking, and ensuring smooth communication both internally and with external parties. Administrative Assistant plays a vital role in ensuring smooth office operations and contributing to the overall efficiency of construction projects.
Duties & Responsibilities:
- Answering phones, managing emails, scheduling meetings, and coordinating travel arrangements for the team.
- Preparing, organizing, and maintaining construction documents, contracts, permits, and reports.
- Assisting with invoice processing, expense reports, budget tracking, and basic bookkeeping.
- Track, review and code invoices, and submit for approval and payment.
- Handling communication with suppliers, soliciting quotes, and managing paperwork related to their onboarding and payments.
- Maintaining office supplies, setting up filing systems, and ensuring the smooth functioning of the office environment.
- Maintaining databases, updating records, and ensuring data accuracy.
- Processing invoices, expense reports, and payroll; assisting with budget preparation and monitoring; and managing vendor relationships.
- Assisting with the procurement of materials and supplies; negotiating prices with vendors; and managing vendor contracts and relationships.
- Typing, copying, scanning, and other tasks assigned by the management.
Qualifications:
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Knowledge of construction terminology and processes is a plus.
- Ability to work independently and as part of a team.
- Attention to detail and accuracy.
