We are seeking a dedicated and detail-oriented Accounts Payable (AP) Officer to join our finance team. This role is heavily focused on high-volume data entry, ensuring accurate and timely processing of supplier invoices and payments across multiple entities. The ideal candidate will have a strong understanding of Australian business practices, including GST compliance, and will be proficient in Xero accounting software.
What You'll Do
- Accurately enter high volumes of supplier invoices into Xero
- Record construction site address, WIP number, and supplier invoices
- Manage weekly and ad hoc payment runs, including remittance advice
- Maintain AP inbox and respond to supplier queries in a timely manner
- Process employee reimbursements and credit card reconciliations (if applicable)
- Ensure compliance with Australian GST and BAS reporting standards
- Reconcile supplier statements and resolve discrepancies promptly
- Support the month-end close process by ensuring all AP transactions and related bank reconciliation are up to date
- Assist with Intercompany transactions and reconciliations
- Maintain well-organized and up-to-date records across multiple business entities
- Assist ongoing AP process improvement and automation project
What You Bring
We're looking for someone who:
- Proven experience in Accounts Payable, ideally in a high-volume environment
- Strong data entry skills with a high degree of accuracy and attention to detail
- Demonstrated experience working with multiple legal entities
- Solid understanding of Australian GST rules and business compliance requirements
- Proven understanding of the key differences between capital, costs, and expenses
- Proficiency in Xero is essential; experience with other software and systems (e.g. MYOB, HubSpot, Salesforce) is a plus
- Highly productive, ability to manage workload and meet deadlines under pressure
- Excellent communication skills and a proactive approach to problem-solving
- Comfortable to engage and work with all levels of internal and external stakeholders
- Strong organizational skills and the ability to work independently
- Experience in a medium-sized or fast-growing business environment
- Demonstrates high resilience with the ability to remain calm and proactive under pressure and maintain a strong customer service focus
- Certificate or Diploma in Accounting or Bookkeeping, preferred but not required
