About the Role

We are looking for a highly organized Documentation Specialist who will manage shipment documents, ensure accurate data entry in logistics systems, and coordinate with internal and external stakeholders for smooth cargo processing. This role is essential in maintaining compliance, supporting operations, and ensuring timely document flow across the entire logistics process.

Key Responsibilities

Documentation Management

  • Update cargo details using the applicable system modules.
  • Collate, organize, and upload shipping documents following internal compliance processes.
  • Release shipping line Delivery Orders (DO) or Container Release Orders (CRO) through email or carrier portals.

Manifesting & Compliance

  • Coordinate with internal and external stakeholders for documentation updates and manifesting requirements.
  • Handle the lodgment of manifests through applicable government systems or portals.

Costing & Vendor Support

  • Input operational costs in the system accurately and on time.
  • Process timely payment requests for applicable vendors.

Coordination & Communication

  • Work closely with Customer Service and Operations teams to ensure smooth workflow and document flow.
  • Send work alerts through applicable system modules to ensure timely follow-through of tasks.

Qualifications

  • Preferably with experience in logistics documentation, freight services, shipping, or related fields.
  • Strong attention to detail and accuracy in data management.
  • Able to work with government portals, carrier portals, and logistics software systems.
  • Good communication and coordination skills.
  • Proficient in MS Office; experience with logistics systems is an advantage.
  • Ability to work in a fast-paced, deadline-driven environment.
