Excis, a multinational IT services firm headquartered in the United Kingdom, is presently seeking a full-time Project Coordinator to join our team. This role will primarily support Transition Managers responsible for a major global clients.
We are seeking a proactive and highly organized Project Coordinator to support our IT service transition initiatives. In this role, you will help facilitate seamless onboarding processes, manage engineer allocation, and support project delivery across multiple client engagements. This position plays a key role in maintaining operational readiness, ensuring timely resource deployment, and supporting communication and collaboration between internal teams and clients.
- Create and deliver onboarding presentations for new clients, including key company information.
- Develop and maintain engineer tracking tools to monitor HR processes and onboarding status, ensuring shared access via company repositories.
- Facilitate onboarding activities for engineers at least two weeks before their go-live date.
- Coordinate recruitment and allocation of Resident and Field Engineers across various projects.
- Manage the dispatch and scheduling of engineers, including backups for illness or leave, and update schedules in SharePoint.
- Participate in daily update calls with clients and provide follow-up reports.
- Arrange training sessions for engineers on ticketing systems, HR platforms, and site-specific procedures including health and safety.
- Oversee creation of email accounts, HR contact details, client admin accounts, and access credentials for new hires.
- Monitor and follow up with engineers during their training phase to ensure successful integration.
- Track and manage expenses related to the transition and resource deployment.
Requirements
- High school diploma required; qualifications in Project Management or Business Administration preferred.
- Minimum of 2 years' experience in a project coordination or support role, preferably in the IT or telecommunications industry.
- Proficiency with Microsoft Office Suite and project management tools such as Microsoft Project.
- Strong organizational and multitasking skills, with the ability to coordinate activities across multiple projects in multicultural environments.
- Excellent verbal and written communication skills, with the ability to engage effectively at all organizational levels.
- Strong interpersonal and team collaboration skills.
- Self-starter with the ability to work independently and manage competing priorities.
- Familiarity with IT and networking infrastructure or program management is an advantage.
- Commercial awareness and basic understanding of financial tracking is desirable.
