Job Title: Virtual Assistant - Booking Manager
Job Description:
We are seeking a proactive and highly organized Virtual Assistant to join our team. The ideal candidate will play a key role in ensuring smooth operations by handling client communications, managing bookings, coordinating with crews, and following up with leads. This is a remote position that requires strong communication skills, attention to detail, and the ability to multitask effectively.
Client Communications:
- Answer inbound calls, emails, and client requests professionally and promptly.
- Provide accurate information and resolve client inquiries or escalate issues as necessary.
Scheduling and Booking Management:
- Manage and coordinate bookings for employees to prevent scheduling conflicts or overlaps.
- Update and maintain the scheduling system to ensure accuracy.
Crew Coordination:
- Check in with crews throughout the day to confirm tasks are proceeding as planned.
- Address any issues or delays and provide support to ensure smooth operations.
Lead Management and Follow-ups:
- Respond to inbound leads promptly via email, phone, or other channels.
- Follow up with potential clients to answer questions, provide additional information, and close deals.
Administrative Support:
- Maintain accurate records of client communications, schedules, and follow-ups.
- Assist in improving workflows and processes for enhanced efficiency.
Qualifications:
- Proven experience in a similar role (e.g., virtual assistant, administrative assistant, scheduler).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in scheduling and communication tools (e.g., Google Workspace, Microsoft Office, CRM software).
- Ability to work independently and handle multiple priorities effectively.
- A reliable internet connection and a quiet, professional workspace.
Preferred Skills:
- Experience in customer service or sales support.
- Familiarity with task management tools (e.g., Asana, Trello, or similar).
- Knowledge of the industry relevant to the employer's business (optional, depending on the field).
