About the Role
Karl Group Holdings Corporation is seeking a highly organized and proactive Executive Assistant / Events Coordinator to provide direct support to the Office of the President and lead the coordination of internal and external company events. This role requires exceptional multitasking skills, professionalism, and the ability to handle confidential information with discretion. You will serve as the right hand of the President while ensuring seamless execution of meetings, projects, and special events.
Key Responsibilities
- Provide comprehensive executive-level administrative and clerical support to the Office of the President.
- Manage the President's calendar, appointments, meetings, and travel logistics to ensure efficient time management.
- Draft, organize, and respond to internal and external communications with professionalism.
- Plan, organize, and execute company events, conferences, and special projects in coordination with relevant departments.
- Prepare reports, presentations, memos, meeting agendas, and event briefings as required.
- Maintain organized filing systems (digital and physical) for executive and event-related documents.
- Handle procurement and coordination with vendors for office and event requirements.
- Ensure confidentiality in all communications, documentation, and transactions.
- Collaborate with department heads and stakeholders to align executive priorities and schedules.
- Support business documentation, report submissions, and related administrative processes.
- Perform additional tasks and projects as may be assigned by the President or senior management.

Qualifications
- Bachelor's Degree in Business Administration, Communication, Hospitality Management, or any related field.
- At least 1 year of experience as an Executive Assistant, Events Coordinator, or similar role.
- Strong organizational and time-management skills with keen attention to detail.
- Excellent communication skills (both written and verbal).
- Proficient in MS Office (Word, Excel, PowerPoint) and online productivity tools.
- Ability to manage multiple priorities under pressure.
- Flexible and willing to work beyond regular hours during special events or deadlines.
- High level of integrity, professionalism, and confidentiality.
Work Conditions
- Schedule: Monday to Friday (standard 40-hour workweek; flexibility required for events).
- Overtime: May be required during special projects or time-sensitive activities; compensated per labor laws.
- Mobility: May be reassigned or transferred to other departments, locations, or business units depending on operational needs.
