About the Role
Our client, a fast-growing fintech company in the SME lending space, is seeking an Office Manager to oversee daily office operations, ensure smooth administrative processes, and support HR and compliance functions. The ideal candidate is organized, detail-oriented, and proactive—ready to thrive in a dynamic, high-performance environment.
Key Responsibilities
Onboarding (Vendors & Employees)
- Collect and verify vendor requirements (BIR 2303, bank details, signed contracts, permits)
- Maintain an updated vendor tracker and ensure vendor activation only with complete documentation
- Collect employee pre-employment requirements and issue company assets (laptops, SIM cards, access cards, etc.)
Office & Asset Management
- Maintain and organize company files, directories, and records
- Conduct periodic audits of vendor files and corporate documents
- Oversee asset issuance, acknowledgment, and retrieval upon employee separation
Facilities, Vehicle & Driver Management
- Supervise office maintenance, cleanliness, and waste management
- Manage company vehicles, including insurance renewal and fuel tracking
- Schedule drivers and maintain attendance and compliance logs
Payment Processing & Expense Management
- Prepare and submit vendor expense forms
- Upload approved payments via bank portals and ensure proper documentation
- Maintain tax-compliant records for all expenses
Regulatory Compliance
- Ensure valid and updated business permits and BIR registration
- Coordinate with LGUs and other agencies for ongoing compliance
Qualifications
- Bachelor's degree in Business Administration, Management, or related field (preferred)
- At least 5 years of experience in office management or administrative leadership
- Strong organizational, multitasking, and problem-solving skills
- Proficiency in Microsoft Office Suite and productivity tools (e.g., G Suite, Microsoft Teams)
- Excellent communication and interpersonal skills across all organizational levels
- Discreet and professional in handling confidential information
- Amenable to work onsite in Makati City, Monday to Friday
- Able to thrive in a fast-paced, growth-oriented environment
