Job Highlights

Contract: Independent Contractor
Schedule: Mon-Fri, 8:00 AM – 5:00 PM EST with 1 hour unpaid break, 40 hours / week

About the Role
We are seeking a highly efficient, emotionally intelligent, and resourceful Operations Assistant to serve as the founder's right hand. The ideal candidate is a proactive self-starter who thrives in a fast-paced environment, knows how to prioritize, and doesn't need to be told what to do. This is a great fit for someone with strong virtual assistant or operations experience who enjoys bringing order to chaos, staying organized, and handling many moving parts at once. You'll touch a bit of everything — from candidate follow-ups to client sourcing support, booking coordination, and more.

Key Responsibilities Candidate Management
-Follow up with applicants who haven't completed their profiles
-Send reminders, track responses, and ensure candidate data is complete
-Schedule and confirm interviews when needed
-Assist with reference checks and background verifications as directed

Database Oversight
-Manage the EngineHire candidate database
-Tag and organize candidate records by availability, skills, and location
-Update statuses, remove outdated profiles, and ensure everything is accurate
-Flag strong or ready-to-place candidates for internal team use

Little Minders Support
-Help coordinate sitter coverage for bookings made through the platform
-Monitor new bookings and match them with available, vetted sitters
-Collaborate with the founder to post sitter jobs and reach out to potential candidates
-Assist in ensuring all sitter and client communications are followed up on

Client & Marketing Support
-Assist with posting jobs and content across recruitment channels and social media
-Monitor job post responses and flag strong leads
-Support light marketing and community engagement initiatives as needed

Administrative Operations
-Take initiative on daily and weekly tasks without needing constant direction
-Assist the founder with project-based work and process improvement
-Handle ad-hoc administrative needs with professionalism and speed

Requirements
  • Highly organized with strong attention to detail
  • Self-directed and able to manage your time effectively without micromanagement
  • Able to juggle multiple priorities and adjust quickly when things shift
  • Emotionally intelligent, warm, and professional in written and verbal communication
  • Excellent problem-solving skills; able to spot potential issues before they become problems
  • Strong common sense, judgment, and follow-through
  • Comfortable learning and adapting to new systems and workflows quickly
  • Collaborative team player who can also work independently and take ownership
Preferred Background
  • Proven experience in operations, admin support, or virtual assistant work
  • Experience supporting a founder, recruiter, or staffing agency is a strong plus
  • Familiarity with ATS systems (especially EngineHire) is a bonus
  • Experience in childcare, household staffing, or service-based businesses is helpful but not required
