Job Description

As a Home Lending Associate, you will manage end-to-end loan processing, assess client needs, prepare compliant lending proposals, analyze financial capacity, coordinate with lenders and partners, and ensure every application progresses smoothly from lodgement to settlement.

The Qualifications We Seek

  • 3-5 years of recent mortgage admin experience with a financial institution or licensed mortgage broker
  • Thorough, precise, and detail-oriented approach to all tasks
  • Adaptability to technology and evolving processes
  • Strong written and verbal communication skills, with confidence in engaging people at all levels
  • High-level influencing skills to overcome challenges and achieve desired outcomes

Your Daily Tasks

  • Communicate with clients to gather all necessary information for loan applications.
  • Prepare high-quality lending proposals for broker review and presentation, ensuring accuracy and compliance.
  • Provide credit guides to prospective and current clients.
  • Request, collect, and verify client documents for accuracy, completeness, and compliance with lending standards.
  • Analyze client files to identify the best lender and optimal loan structure.
  • Conduct product analysis and recommend suitable mortgage products based on client needs and policy fit.
  • Assess funding positions accurately to confirm feasibility and readiness.
  • Utilize Quickli, Broker Platform, and Servicing Calculator to determine maximum borrowing capacity.
  • Analyze income sources for both PAYG and self-employed clients.
  • Complete online applications with accurate data entry.
  • Coordinate with real estate agents and solicitors to progress purchase applications.
  • Liaise with lenders and lending teams (credit assessors and funding units) to check application status, resolve issues, and expedite processing.
  • Assist brokers with Mortgage Insurance Refund (MIR) requests and processing with lenders.
  • Execute communication strategies (SMS, email, phone) to keep clients updated at each milestone and answer queries clearly from lodgement through funding.
  • Track and manage applications end-to-end from submission to settlement in CRM/tracking systems, recording key milestones (lodgement, conditional approval, full approval, funding, post-settlement) and proactively resolving issues.
  • Identify cross-sell opportunities for additional products during client engagements.

Performance Targets:

  • Maintain submission file quality to ensure a settlement ratio greater than 75%.
  • Achieve a customer satisfaction feedback rating of at least 4 out of 5 stars (80%).
  • Generate a minimum of 4 client referrals per month from your client base.

Additional Sales and Retention Responsibilities:

  • Identify and secure product sales opportunities through exceptional service delivery and proactive communication.
  • Request client referrals during the loan tracking process.
  • Maximize lodgement-to-funding conversions through consistent tracking and communication.

Administrative Responsibilities:

  • Maintain CRM files to monitor loan processing stages and update key stage completions, including indicative and full loan approval, document preparation, and loan funding/settlement steps.
  • Record key client contact events in CRM databases, such as approval notifications, funding updates, one-month anniversaries, and six-month health checks to support retention programs.
  • Track loan lodgement-to-funding conversions by loan type, lender, and customer segment.

Compliance and Standards:

  • Follow the Franchise Operations System (FOS) as outlined in the Mortgage Choice Operations Manual and Information Centre.
  • Uphold Responsible Lending and Privacy obligations at all times.
