Administrative Staff – Operations Support Specialist

About the Job

The Operations Support Specialist provides crucial support to ensure the smooth execution of operational processes. This role assists in data management, documentation, scheduling, coordination with other departments, and maintaining accurate records.

Key Responsibilities
  1. Operational Support

    • Prepare and maintain operational reports, logs, and records.

    • Support inventory and supply chain documentation.

    • Track and monitor workflow processes to ensure compliance with operational standards.

  2. Data Management

    • Enter, update, and maintain accurate records in databases and spreadsheets.

    • Compile data for internal reports and audits.

    • Ensure proper filing and easy retrieval of operational documents.

  3. Coordination

    • Coordinate with other departments to support daily operations.

    • Arrange meetings and take minutes when necessary.

  4. Documentation

    • Ensure documents are properly signed, scanned, and filed.

    • Handle confidential documentation securely.

  5. Communication

    • Act as a point of contact for internal and external regarding operational queries.

    • Answer calls and emails related to operations and direct them to appropriate personnel.

    • Follow up on pending requests and activities related to the department.

Requirements
  • Education: College graduate; Associate or Bachelor's degree in Business Administration or related field is preferred.

  • Experience: 1–3 years of experience in an administrative or operations-related role.

Skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook).

  • Familiarity with basic operations or supply chain processes.

  • Strong organizational and time-management skills.

  • Good communication and interpersonal skills.
