Job Overview

This is an exciting opportunity to join our team as a professional in accounting and collections. As an Accounting and Collections Specialist, you will play a vital role in supporting the admin team with various tasks.


Key Responsibilities:
  • Process invoices, quotes, and basic reconciliations using QuickBooks and other systems ensuring accuracy and efficiency.
  • Assist with data entry for surveillance, compliance, and reporting tasks keeping all information up-to-date and secure.
  • Organise and file internal documentation and reports on time maintaining a well-structured workspace.
  • Submit expense claims, credit applications, and follow-up tasks as requested by management.

Customer & Team Communication:
  • Respond to customer enquiries via email or chat in a timely and professional manner addressing their concerns promptly.
  • Support the admin team by providing updates and escalations ensuring seamless communication and collaboration.
  • Participate in online team huddles and communicate effectively with the onshore team fostering a spirit of teamwork and cooperation.

Data Entry & Systems Management:
  • Upload camera footage, customer forms, and completed job documents into internal systems accurately and efficiently.
  • Assist with onboarding admin and digital file creation for new team members making the onboarding process smooth and hassle-free.
  • Ensure accuracy and integrity of all entered data adhering to quality standards.

General Office Assistance:
  • Calendar and email inbox management for designated managers ensuring that their schedules are always up-to-date and organized.
  • Support marketing and compliance tasks including form preparation and formatting providing support when needed.
  • Other ad hoc admin duties as requested by the Australian-based team completing tasks with enthusiasm and dedication.

Skills & Abilities:
  • Excellent attention to detail and accuracy maintaining high standards in all work assignments.
  • Strong written and verbal English communication skills facilitating effective communication with colleagues and customers alike.
  • Proficient in Microsoft Word, Excel, and Outlook using these tools to enhance productivity and efficiency.
  • Experience with QuickBooks (preferred but not essential) leveraging existing skills to contribute to the team's success.
  • Time management and ability to work with limited supervision allowing for flexibility and adaptability.
  • Proactive approach to learning and improving systems staying up-to-date with the latest technology and trends.

Experience & Qualifications:
  • Minimum 2 years in an administrative or accounts-based role gaining valuable experience and skills.
  • Experience in working with offshore teams (preferred) utilizing global knowledge to support the team's objectives.
  • Formal qualification in administration, accounting, or customer service (desirable) enhancing professional growth and development.
