Healthcare Document Specialist Job Description

This role plays a pivotal part in the medical records retrieval process, ensuring all requests are complete and accurate. The quality of intake directly impacts the speed and accuracy of records retrieval for clients.


Main Responsibilities
  • Provider Identification & Research
    • Determine relevant healthcare providers associated with a client's treatment beyond the main facility listed by the law firm.
    • Locate billing providers and related entities using prior request history and direct provider calls.
    • Input identified providers into the admin application.
  • Request Quality Control & Creation
    • Review and correct incoming Release of Information (ROI) forms that are often incomplete or incorrect.
    • Create accurate base forms before assembling final submission packets.
    • Conduct thorough quality assurance checks to ensure all required components are accurate and complete.
  • Request Assignment & Management
    • Assign requests to team members based on workload and utilization metrics.
  • Handling Special Cases
    • Identify and escalate provider-specific requirements to Client Success Managers.
    • Resolve missing or conflicting information by liaising with law firms' case managers.

Key Requirements
  • Experience: Prior experience requesting health records from providers on behalf of companies.
  • Attention to Detail: Extreme accuracy is essential to prevent delays.
  • Technical Skills: Proficiency in Adobe Acrobat and PDF editing/combining tools.
  • Communication: Strong verbal and written communication skills with a proactive problem-solving mindset.
