We are seeking a detail-oriented and highly organized individual to fill the role of Medical Records Assistant. As a key member of our finance team, you will be responsible for receiving, validating, and fulfilling medical records requests from various sources while ensuring compliance with applicable privacy regulations.

Key Responsibilities
  • Receive and log all incoming medical records requests via email, patient portal, secure fax, or mail/subpoena, and acknowledge receipt using approved templates.
  • Verify the identity and authority of requestors, confirm the scope, purpose, and expiration of authorizations, and check minimum necessary alignment.
  • Route requests to treating clinicians and psychiatric providers for review and approval, documenting approvals/holds in the ROI log and retaining dated confirmation.
  • Prepare and send records via approved secure methods, maintaining an auditable chain of custody.
  • Maintain accurate and up-to-date records, adhering to internal SLAs and federal/state timeframes.
Required Skills and Qualifications
  • At least 2 years of experience in medical records, health information management, payer documentation support, or billing/finance operations in a healthcare setting.
  • Proven knowledge of HIPAA privacy/security requirements and the minimum necessary standard.
  • Strong written communication skills, with the ability to convey complex information clearly and concisely.
  • High accuracy with document handling, PDF redaction, and file organization.
  • Proficiency with electronic health record (EHR) systems, secure email/encryption, and Microsoft Office applications.
