Documents Management Specialist

At John Clements Japan Desk (PERSOL PHILIPPINES), we are seeking a highly organized and detail-oriented Documents Custodian Officer to join our team.
Job Summary:The Documents Custodian Officer will be responsible for the timely, accurate, and efficient preparation and management of documents. This includes controlling the numbering, sorting, filing, storing, and retrieval of both electronic and hard copy documents produced by technical teams, projects, or departments.
Key Responsibilities:- Maintain records of company operations, including meetings, finances, schedules, employees, and correspondences.
- Create policies and systems to optimize document storage.
- Filing and arranging documents for easy reference of the company.
- Distribute physical and digital documents to concerned employees.
- Audit document inventory and review filed documents for updates.
- Draft document templates for future use.
- Maintain document confidentiality and accuracy.
- Maintain confidentiality around sensitive information and terms of agreement.
- Graduate of Management, Business, Finance, Economics, or any related discipline.
- At least 2-3 years experience in account management preferably as an Account/Sales Officer.
- Good organizational, planning, interpersonal, and analytical skills.
- Ability to apply and adapt records management standards and best practices effectively in the organization's context.
- Keen attention to detail.
- Knowledge of archival practices and data privacy.
- Ability to utilize information technology and computer and internet systems to accomplish tasks; Comfortable with exploring new technologies (e.g., MS Access, MS Excel, Canvas, Google Drive, etc.).
- High level of integrity and confidentiality.
- Able to communicate effectively with all levels of the organization and external parties.
- Experience gained from a bank or leasing and finance company is an advantage.
