Financial Operations Specialist Job Description

We are seeking a highly skilled and experienced Financial Operations Specialist to oversee financial operations related to credit card transactions. This includes processing payments, tracking expenses, and reconciling statements to maintain accurate financial records.

Key Responsibilities:
  • Credit Card Management:
    • Monitor and record credit card transactions, ensuring they are properly categorized and compliant with regulatory requirements
    • Reconcile credit card statements with accounting records to identify and resolve discrepancies in a timely manner
    • Manage credit card payment schedules to avoid late fees and maintain company credit health by leveraging advanced financial management techniques
  • Bookkeeping Duties:
    • Maintain and update financial records, including accounts payable and receivable, by utilizing industry-leading accounting software such as QuickBooks or Xero
    • Record daily transactions in accounting software, providing accurate and reliable financial data for informed business decisions
    • Assist in preparing financial statements, such as profit and loss reports and balance sheets, to ensure transparency and compliance with regulatory standards
  • Expense Tracking:
    • Track and validate employee credit card usage, ensuring adherence to company policies and procedures
    • Organize and maintain receipts and documentation for all credit card expenses, facilitating efficient expense reporting and reimbursement processes
    • Analyze spending patterns to provide insights for cost-saving opportunities and optimize financial performance
  • Financial Reporting and Compliance:
    • Generate reports detailing credit card expenses and transactions for management review and analysis
    • Ensure compliance with company financial policies and accounting regulations, maintaining the highest level of integrity and transparency
  • Other Duties:
    • Assist with month-end and year-end closing processes, ensuring accurate financial records and timely completion of financial tasks
    • Support audits by providing detailed credit card transaction records and reconciliations, demonstrating expertise and professionalism
Requirements:
  • At least 5 years of experience in bookkeeping or a related field, preferably with credit card transaction management
  • Proficiency in accounting software like QuickBooks Online and Desktop, Xero, and other industry-standard tools
  • Excellent problem-solving and reconciliation skills, with the ability to analyze complex financial data and identify solutions
  • Knowledge of financial regulations and compliance standards, including GAAP and SOX
