
Senior Administrative Coordinator

We are seeking a highly organized and detail-oriented professional to manage day-to-day administrative tasks for our construction operations. The ideal candidate will have experience with construction management software or roofing industry software.
This role involves answering phones, entering work orders, processing invoices, researching permits and licenses, and providing overall office support.
The right individual will be responsible for maintaining accurate financial and project records, coordinating with project managers, estimators, and field crews, and assisting with scheduling and correspondence.
Key Responsibilities:- Answer incoming phone calls and provide customer support
- Enter work orders, project details, and job updates into construction management software
- Prepare and process invoices, and assist with accounts payable and receivable entries
- Maintain accurate financial and project records
- Research permit and license requirements
- Coordinate with project teams to ensure timely information flow
- Maintain organized digital filing systems
- Assist with scheduling and correspondence
- Prior experience in an administrative/bookkeeping role within construction or roofing is preferred
- Proficiency in Microsoft Office (Excel, Word, Outlook) is required
- Strong communication skills and professional phone etiquette are essential
- High attention to detail and accuracy in data entry and recordkeeping are crucial
