Legal & Administrative Specialist

Key Responsibilities:

  • Prepare, proofread, and manage various legal documents including contracts, non-disclosure agreements (NDAs), and memorandums.
  • Organize, maintain, and store confidential case files and legal records.
  • Coordinate with legal professionals or firm staff to ensure timely progress and meet client requirements.

Executive Support Expertise:

  • Manage complex calendars, schedule meetings, and coordinate appointments across multiple time zones.
  • Oversee internal projects, facilitate team communication, and organize company data.
  • Handle sensitive information with discretion and confidentiality.

Client & Case Management:

  • Monitor and manage inboxes: respond to emails, follow up on correspondence, and flag priority messages.
  • Conduct client communication via phone and email for scheduling, updates, and general inquiries.
  • Track case deadlines, hearing schedules, and deliverables to ensure timely completion.

Financial & Reporting Tasks:

  • Create and send client invoices, track payments, and record expenses accurately.
  • Assist in preparing payroll and tracking billable hours for clients.
  • Gather and analyze data on trends, industry practices, and legal research for executive reports and presentations.

Travel & Logistics:

  • Prepare detailed itineraries, book flights, hotels, and transportation for business travel.
  • Evaluate client preferences and schedules to ensure smooth travel arrangements.

CRM & Systems Management:

  • Update and maintain accurate data in customer relationship management (CRM) systems and case/project management platforms.
  • Support marketing campaigns by organizing and inputting lead/client data into CRM systems.

Content & Communication Management:

  • Upload documents or media to online platforms, maintain profiles, and manage online reputation.
  • Develop presentations and summarize documents for executive briefings.

Ad Hoc Tasks:

  • Perform a variety of administrative, operational, or legal-related support tasks as required.

Qualifications:

  • Minimum 3 years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Background or experience working in a law firm or handling paralegal duties is highly preferred.
  • Bachelor's degree or certificate in paralegal studies, business administration, or related field (required).
  • Excellent English communication skills, both written and verbal (B2 level minimum).
  • Strong phone, email, and instant messaging communication skills.
  • Outstanding organizational and time management skills.
  • Tech-savvy and experienced with cloud platforms, remote communication tools, and legal systems.
  • Proficient in Microsoft Office and Google Workspace applications.
  • Familiarity with CRMs, case management software, or project tools (e.g., Trello, Asana) is advantageous.
  • Proactive, detail-oriented, and comfortable working independently.
  • Willingness to work flexible hours, including night shifts aligned with U.S. business hours.
