Job Overview

We are a dynamic immigration law firm seeking an Operations Support Specialist to join our leadership team.

This role involves overseeing cross-departmental initiatives, supporting client services, and contributing to business growth.

The ideal candidate will be proactive, organized, and able to handle multiple tasks with ease.

Key Responsibilities
  • Support the Operations Manager in implementing firm-wide initiatives and workflows.
  • Efficiently route inquiries to relevant departments and monitor timely resolution.
  • Track progress on departmental initiatives and provide regular updates to leadership.
  • Assist in designing and improving workflows for efficiency.
  • Monitor client communications to ensure consistency and high-quality service delivery.
  • Support the implementation of service standards and client satisfaction metrics.
  • Collaborate with leadership to identify and proactively resolve client service issues.
  • Compile reports on firm-wide metrics, including operations and client services.
  • Support data analysis to identify opportunities for performance improvement.
  • Flag delays, risks, or bottlenecks impacting departmental KPIs.
Requirements
  • Bachelor's degree in Business Administration, Operations Management, or a related field.
  • Minimum 5 years of experience in operations, project coordination, or executive support.
  • Proven ability to handle cross-departmental reporting and KPI tracking.

Strong organizational, research, and planning skills are essential, as well as analytical mindset with the ability to translate data into actionable insights.

Technical Requirements
  • Highly proficient in setting up boards, automations, dashboards, and workflows for task tracking and project planning using monday.com.
  • Highly adaptable, with demonstrated ability to leverage AI functionalities (ChatGPT, Gemini, Box AI, etc.) to improve efficiency, reporting, and decision-making.
  • Proficient in CRM systems, such as Salesforce.

Additional technical requirements include proficiency in Google Workspace, Microsoft Office, Dialpad, and Zoom for productivity and scheduling purposes.
