Executive Support Specialist
DescriptionWe are seeking a highly organized and proactive Executive Support Specialist to provide administrative support to our team. The ideal candidate will be responsible for maintaining our daily schedules, managing communication channels, and ensuring smooth administrative operations.
This role requires excellent organizational skills, attention to detail, and proficiency with administrative software and tools.
Key Responsibilities- Manage and update calendars, schedule meetings, and set up appointments
- Utilize project management tools for task tracking and collaboration
- Assist with reviewing and managing contracts, ensuring all documentation is accurate and up-to-date
- Organize and review receipts, and track purchases and expenses
- Maintain and manage travel logs, including travel arrangements and documentation
- Screen record all meetings and use transcription tools for meeting notes
- Conduct regular file reviews to ensure all records are complete and organized
- Handle email management, including sorting, prioritizing, and responding to messages on behalf of the team
- Proven experience as an Executive Support Specialist or in a similar role
- Proficiency with project management tools, calendar management systems, and email platforms
- Strong attention to detail and organizational skills
- Excellent communication skills and the ability to manage multiple tasks effectively
- Familiarity with transcription tools and screen recording software is preferred
- Ability to work in EST time zone hours (9 AM - 5 PM, Monday to Friday)
