
Executive Support Specialist

We are seeking an experienced and highly organized administrative professional to provide exceptional support to our leadership team in the construction industry.
This role requires a proactive individual who thrives in a fast-paced environment and can manage various tasks while leveraging data to drive efficiency and decision-making.
You will be responsible for managing executive calendars, scheduling meetings, coordinating travel arrangements, handling email correspondence via Outlook, and ensuring timely follow-ups. Additionally, you will create and maintain Excel reports using advanced functions, support CRM activities using Pipedrive, conduct lead generation and data enrichment using Seamless.ai, assist with order processing and inventory tracking via SellerCloud, prepare presentations, reports, and documentation for internal and client use, and liaise with clients, vendors, and internal teams to ensure smooth operations.
To be successful in this role, you should possess excellent written and verbal communication skills, proficiency in Microsoft Outlook for email and calendar management, advanced Microsoft Excel skills (VLOOKUP is essential; PivotTables preferred), strong organizational and multitasking abilities, attention to detail, and problem-solving mindset.
Key Responsibilities:- Manage executive calendars, schedule meetings, and coordinate travel arrangements.
- Handle email correspondence via Outlook and ensure timely follow-ups.
- Create and maintain Excel reports using advanced functions.
- Support CRM activities using Pipedrive.

- Liaise with clients, vendors, and internal teams to ensure smooth operations.
- Bachelor's degree in Business Administration, Construction Management, or related field.
- 2+ years of experience in an executive assistant or administrative role.
- Experience in the construction industry is a strong plus.
- Excel - VLOOKUP required, PivotTables helpful.
- Outlook - For email and scheduling.
- Pipedrive - Training provided.
- Seamless.ai - For lead generation.
- SellerCloud - For order and inventory management.
