Job Title: Office Support Specialist

A highly organized and detail-oriented individual is sought to provide administrative support in a fast-paced business environment.

  • Monitor and maintain accurate records of business listings across multiple platforms.
  • Communicate effectively with vendors and clients via phone calls and emails, ensuring timely responses and resolutions.
  • Prepare, proofread, and send correspondence that showcases excellent written communication skills.
  • Assist with day-to-day administrative tasks and executive support responsibilities.
  • Process invoices, manage vendor relationships, and schedule payments in a timely manner.
  • Manage Accounts Receivable processes, including billing, collections, and reconciliations.
  • Maintain accurate financial records, perform bookkeeping tasks as needed, and prepare reports for management review.
Requirements:
  • Proven experience in an administrative or office support role.
  • Knowledge of accounting principles, particularly Accounts Payable and Accounts Receivable processes.
  • Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills, with the ability to adapt to changing priorities.
  • Strong organizational and multitasking abilities, with a focus on attention to detail.
