
High-Level Administrative Support Specialist

Our team is seeking an experienced administrative support professional to provide high-level support services to senior executives in Australia and New Zealand.
The ideal candidate will have excellent time management skills, be confident in interacting with clients and executives, and maintain strict discretion and confidentiality.
The successful candidate will be responsible for calendar and meeting management, email management, travel logistics, event management, expense reimbursement, client relationship management, and other administrative tasks as needed.
- Calendar/Meeting Management – Manage and coordinate diaries and schedules with internal and external stakeholders on behalf of the executive
- Email Management – Screen, respond to and/or action emails as necessary
- Travel Management – Arrange flight and hotel accommodations, and other logistical requirements
- Expense Management – Track and submit expenses for reimbursement or payment requisition and adhere to monthly deadlines
- Events Management – Assist in setting up logistics (venue, catering, equipment) and coordination of invites and RSVPs
- Timesheet Management – Track, enter and submit the worked hours of the executive with weekly deadlines
- Telephone Management – Relay accurate and detailed messages and transfer calls as required
- Client Relationship Management – Build relationships with clients and their EAs, update and maintain client lists, and report on clients and/or markets
- Bachelor's/College Degree (any field)
- Minimum of 2 years' experience in Executive Assistance/Secretary/Admin support (preferred but not required)
- Customer service experience working with multiple stakeholders
- Proficient in MS Office (Outlook, Excel, Word, PowerPoint)
- Strong English communication skills, both written and spoken
- Ability to handle multiple executives, priorities and deadlines
