We are looking for a highly skilled Administrative Support Specialist to join our team.
Job Summary:
The successful candidate will provide administrative support to the Legal Department and enhance office efficiency.
Key Responsibilities:
· Provide exceptional administrative support to lawyers and ensure smooth day-to-day operations.
· Manage licensing applications, renewals, and other assigned tasks in a timely and efficient manner.
· Handle communication with internal clients and vendors of the department effectively.
· Prepare and file legal documents, correspondence, and reports as required.
· Maintain accurate contact lists, databases, and files.
· Calendar tasks, projects, filings, and monitor deadlines to ensure timely completion.
· Process vendors' invoices and bills efficiently, scanning documents, emails, and telephone calls while maintaining confidentiality and organization.
· Book appointments, handle filing systems, and open or close files promptly.
· Proofread work output to avoid grammatical and spelling errors.
· Compile reports, make copies of relevant records, maintain files, and save electronic documents in the department's shared folder.
· Ensure adherence to established attendance schedules and company policies.
Required Skills and Qualifications:
Degree in Business Administration or related field
Minimum 2 years of relevant work experience
Proficiency in MS Office, Nitro, Excel, and PowerPoint
Negotiation, customer service, and feedback skills
Excellent administrative and organizational abilities
Ability to multitask and work under pressure with minimal supervision
Flexibility and urgency to handle pressure in a cross-cultural environment
