
Administrative Support Specialist

This role involves providing administrative support to a team responsible for temp contractor payroll. The focus is on delivering timely and accurate services across Asia, covering countries such as Singapore, Hong Kong, and Japan.
Key Responsibilities- Sending reminders to contractors regarding timesheet submission.
- Following up on outstanding timesheets in a timely manner.
- Receiving and processing timesheets from various sources, including outlook and client portals.
- Verifying expenses with corresponding receipts.
- Downloading invoices from client portals.
- Managing new starter creation and record-keeping within the system.
- Logging leaves accurately within the system.
- Exporting billing consolidation reports from the system.
- Generating and saving invoices using the system.
- Combining relevant timesheets and expenses into single invoices.
- Emailing standard invoices to clients.
- Retrieving standard reports from the system.
- Supporting audits by gathering required documents and records.
- Providing ad-hoc assistance to the temp payroll team as needed.
- A minimum of two years of experience in payroll, preferably within a shared service environment.
- Bachelor's degree with a strong foundation in mathematics.
- Experience working with HR/payroll software (e.g., Ramco) is advantageous.
- Possess excellent time management and prioritization skills.
- Demonstrate a keen attention to detail and ability to work methodically.
- Show responsiveness and aptitude for quickly absorbing and processing information.
- Possess good written and verbal communication skills in English.
- Display a collaborative approach, with a people-oriented mindset.
- Show capability to work autonomously, applying logical reasoning to tasks.
- Capable of meeting deadlines and working under pressure.
