Virtual Support Associate

We are seeking a highly skilled Virtual Support Associate to join our dynamic team.

This is a comprehensive role where you will deliver remote support to senior executives in Australia and New Zealand, including calendar and meeting management; email management; travel logistics; event management; expense reimbursements; client relationship management; documentation preparation, and other administrative tasks as needed.

This opportunity allows you to work in a fast-paced environment with a supportive and dynamic virtual and local executive assistant team.

Key Responsibilities
  • Calendar/Meeting Management – Manage and coordinate diaries and schedules with internal and external stakeholders on behalf of the executive.
  • Email Management – Screen, respond to, and/or action emails as necessary.
  • Travel Management – Arrange flight and hotel accommodations, and other logistical requirements.
  • Expense Management – Track and submit expenses for reimbursement or payment requisition and adhere to monthly deadlines.
  • Events Management – Assist in setting up logistics (venue, catering, equipment) and coordination of invites and RSVPs.
  • Timesheet Management – Track, enter, and submit the worked hours of the executive with weekly deadlines.
  • Telephone Management – Relay accurate and detailed messages and transfer calls as required.
  • Client Relationship Management – Build relationships with clients and their EAs, update and maintain client lists, and report on clients and/or markets.

To Qualify for the Role
  • Bachelor's/College Degree (any field).
  • Minimum of 2 years' experience in Executive Assistance/Secretary/Admin support (preferred but not required).
  • Customer service experience working with multiple stakeholders.
  • Proficient in MS Office (Outlook, Excel, Word, PowerPoint).
  • Strong English communication skills, both written and spoken.
  • Ability to handle multiple executives, priorities, and deadlines.
  • Open to work in an early morning shift.
