Job Title: Senior Executive Assistant

We are seeking an exceptional Senior Executive Assistant to support our senior executives in their daily tasks. The ideal candidate will have excellent organizational and communication skills, with a strong ability to manage multiple priorities and deadlines.

Duties and Responsibilities:
  • Manage executive calendars, coordinate meetings, and ensure timely appointments.
  • Handle confidential correspondence and serve as the primary point of contact for internal and external communications.
  • Conduct research on industry trends, best practices, and comparative data, presenting findings in clear reports.
  • Prepare detailed financial summaries, including creating statements or invoices, tracking payments, and recording expenses.
  • Organize files, documents, and records, ensuring seamless administrative processes.
  • Manage data entry tasks, transcribing audio, and compiling meeting minutes.
  • Monitor ongoing projects, communicate with teams, and track deliverables.
  • Coordinate team calendars and prevent scheduling conflicts.
  • Plan executive travel itineraries, book accommodations, and handle logistics.
  • Draft, reply to, and manage emails, following up on correspondence and organizing inboxes according to executive preferences.
  • Synthesize data into cohesive reports and create presentation slides for meetings and conferences.
  • Oversee account profiles, manage reviews, and upload relevant media content as needed.
Qualifications:
  • Minimum 5 years of experience as an Executive Assistant to C-levels (CEO, COO, etc.)
  • University Bachelor's degree from a reputable institution
  • Excellent phone, email, and instant messaging communication skills
  • Exceptional English communication skills (C1-C2 Level)
  • Solid organizational & time management skills
  • Tech-savvy with knowledge of current technologies (desktop sharing, cloud services, VoIP)
  • Experience with word-processing software and spreadsheets (e.g., MS Office)
  • Knowledge of online calendars and scheduling (e.g., Google Calendar)
  • Proactive attitude & willingness to be trained
  • Able to work flexible hours, including graveyard shifts
