Job Title: Virtual Support Specialist

We are seeking a highly organized and detail-oriented Virtual Support Specialist to join our team. In this role, you will be responsible for providing administrative support, managing email correspondence, scheduling appointments, conducting research, and maintaining digital files.

Key Responsibilities:
  • Email Management: Prioritize and respond to emails on behalf of the team as needed.
  • Scheduling: Manage calendars, schedule appointments, and meetings with accuracy and precision.
  • Research and Reporting: Conduct thorough internet research, collect relevant data, and prepare reports to support business decisions.
  • Digital File Management: Maintain and organize digital files and records, ensuring easy access and retrieval.
  • Administrative Tasks: Handle tasks such as document preparation, data entry, and form completion with attention to detail.
  • Social Media Support: Assist in updating social media platforms and creating light content to enhance online presence.
  • Communication and Coordination: Coordinate with team members and vendors as required, fostering strong relationships and open communication.
  • Task Tracking and Follow-up: Track and follow up on tasks, deadlines, and deliverables, ensuring timely completion and meeting expectations.
Requirements:
  • Experience: Minimum 2 years of experience in a virtual assistant or administrative support role, demonstrating expertise and adaptability.
  • Communication Skills: Excellent written and verbal English communication skills, with the ability to craft compelling content and respond to inquiries effectively.
  • Organizational and Time Management Skills: Strong organizational and time management skills, with the capacity to prioritize tasks, manage multiple projects, and meet deadlines.
  • Technical Skills: Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Drive, Gmail, Calendar), with the ability to learn new tools and technologies quickly.
  • Familiarity with Task Management Tools: Familiarity with task/project management tools like Trello, Asana, or ClickUp, with experience using similar platforms an asset.
  • Independence and Self-Motivation: Ability to work independently, manage time effectively, and meet deadlines, with a focus on delivering high-quality results.
Preferred Skills:
  • CRM Platform Experience: Experience with CRM platforms, with knowledge of basic bookkeeping or invoicing tools an asset.
  • Graphic Design Skills: Basic graphic design skills, with the ability to create visual content that enhances online presence.
