A highly organized and proactive support specialist is sought to streamline both administrative operations and web functionality. This role requires a self-starter who thrives on autonomy, can effectively collaborate with remote team members while handling multiple tools and systems.
Key Responsibilities- WordPress Management: Build and customize WordPress forms and layouts for optimal user experience.
- Salesforce Customization: Customize and manage Salesforce CRM workflows and dashboards to enhance productivity.
- Client Communications: Assist in client follow-ups, email communications, and scheduling meetings via Google Calendar.
- Financial Management: Generate and manage invoices, receipts, and basic bookkeeping entries using accounting software.
- Task Coordination: Coordinate between departments for task updates and completion to ensure seamless workflow.
- Automation Opportunities: Identify and suggest automation opportunities using tools like Make.com or Zapier to increase efficiency.
- Data Management: Maintain data accuracy across systems and support data migration projects to ensure consistency.
- WordPress Experience: Proven experience in WordPress website management and customization is essential.
- CRM Knowledge: Advanced knowledge of Salesforce (or similar CRM platforms like Pipedrive) is required.
- Automation Skills: Familiarity with Make.com or Zapier is a strong advantage.
- Virtual Assistance: At least 2 years' experience in executive or virtual assistance is necessary.
- Communication Skills: Excellent communication skills—both written and verbal—are crucial for success.
- Time Management: Strong time management and ability to work independently are essential qualities.
- Confidentiality: Ability to handle sensitive data with confidentiality and discretion is mandatory.
- Collaboration: Comfortable collaborating during remote hours and willing to adapt to changing circumstances.
