Job Title: Administrative Operations Manager

The successful candidate will be responsible for managing daily operations, ensuring a smooth day-to-day workflow.

  • Effective email filtering and response management using existing Outlook filing system.
  • Skillful phone call screening and prioritization to escalate critical matters.
  • Daily scheduling coordination for subcontractors, materials delivery, and client confirmations.
  • Supporting estimation processes by following up on delivery commitments and deadlines.
  • Assisting with variation estimate processes, including sketch preparation and support tasks.
  • Managing the CRM pipeline during transition to new platforms.
  • Qualifying incoming leads to identify genuine prospects.
  • Supporting social media marketing initiatives and lead generation activities.
Scope of Work
  • Reduce founder's email management time through effective triage systems.
  • Eliminate spam calls and filter only legitimate calls requiring founder attention.
  • Achieve same-day email response times with maximum 10 actionable items in inbox.
  • Complete daily scheduling tasks without requiring founder's evening time blocks.
  • Ensure estimation delivery times are consistently met through proactive follow-up.
  • Process variation estimates within 24-48 hour turnaround time.
  • Establish and maintain lead qualification process to improve sales efficiency.
  • Maximize utilization of existing software subscriptions.
  • Create comprehensive SOP library starting with own role blueprint.
