Job Title: Real Estate Administrative Support Specialist

We are seeking a proactive professional with real estate experience to provide vital back-office support and client communication services.

Key Responsibilities:

  • Provide back-end administrative support and project coordination, ensuring seamless execution of tasks.
  • Manage and respond to emails and client communications professionally, maintaining a high level of customer satisfaction.
  • Handle follow-ups with clients, agents, and vendors, fostering strong relationships and driving business growth.
  • Maintain and update the CRM system (preferably Follow-Up Boss), optimizing data management and analysis.
  • Assist with scheduling, document management, and task tracking, streamlining processes and improving productivity.
  • Coordinate tasks between the real estate team and external partners, enhancing collaboration and results.
  • Support lead generation and appointment setting as needed, contributing to sales growth and revenue expansion.
  • Contribute to marketing tasks such as email campaigns or social posts, amplifying brand visibility and reach.

Ideal Candidate Profile:

  • Strong written and spoken English – clear, confident, and professional communication skills.
  • Experienced in the real estate industry – understands terminology, timelines, and client expectations.
  • Keen to using AI tools, staying up-to-date with industry advancements.
  • Proficient with CRMs – Follow-Up Boss experience is a plus but not required, adaptability is key.
  • Self-starter with high initiative – takes ownership and completes tasks with minimal supervision, demonstrating autonomy and accountability.
  • Organized and detail-oriented – capable of managing multiple priorities, prioritizing tasks efficiently.
  • Flexible and growth-oriented – open to training, feedback, and evolving responsibilities, embracing change and development.
