Job Description

We are seeking a highly skilled and organized Virtual Assistant to join our team. As a Healthcare Virtual Assistant, you will be responsible for managing patient appointments, scheduling allied health services, and ensuring seamless communication between patients, healthcare professionals, and management.

Key responsibilities include:

  • Processing internal referrals and adding them to the correct lists
  • Scheduling and overseeing allied health appointments (physical therapy, kinesiology, chiropractic care, occupational therapy, and vision services)

Additional tasks include:

  • Calling approved and private patients to book their treatments
  • Managing and updating patient approvals, denials, and follow-up lists
  • Assisting with treatment block bookings and LTD approvals
  • Sending faxes to healthcare providers as needed
  • Submitting daily reports to management

Requirements

To be successful in this role, you must have:

  • At least 2 years of experience as a Virtual Assistant, preferably in a healthcare setting
  • Experience in healthcare administration or patient coordination (preferred)
  • Strong organizational and time management skills
  • Excellent phone and email communication skills
  • Ability to multitask and manage scheduling efficiently
  • Proficiency with Microsoft Excel and Google Workspace (Google Spreadsheet, Google Docs)
  • Familiarity with healthcare software tools (EMR/EHR systems)
  • Experience handling insurance claims and billing (MVA, WSIB, BlueCross, Sun Life)
