
Chief Administrative Officer for Construction Projects

The ideal candidate will have a strong organizational and time-management skills, excellent English communication skills, and proficiency in MS Office Suite and project management software.
- Manage executive calendars, scheduling meetings, appointments, and travel arrangements to optimize productivity and efficiency.
- Prepare and edit correspondence, reports, and presentations related to construction projects to ensure accurate and timely information dissemination.
- Handle confidential information with discretion to maintain industry compliance and integrity.
- Assist in organizing and maintaining project documentation, contracts, and permits to ensure seamless execution and adaptation.
- Coordinate communication between executives, clients, subcontractors, and on-site teams to foster collaborative relationships and drive project success.
- Monitor project timelines and deliverables, providing updates to executives as needed to maintain transparency and accountability.
- Conduct research related to construction materials, vendors, and industry best practices to inform strategic decisions and optimize project outcomes.
- Manage expense reports and assist in budget tracking for construction projects to ensure financial prudence and discipline.
- Organize and maintain the executive's filing system, both electronic and physical, to ensure easy access and efficient retrieval of critical documents.
- Perform general administrative tasks to support the executive team and enhance overall operational efficiency.
- Minimum of 3 years of experience as an Executive Assistant to C-levels (CEO, COO etc).
- Bachelor's degree in Business Administration or related field preferred.
- At least 3 years of experience as an executive assistant or in a similar administrative role.
- Familiarity with the construction industry and its operations is highly desirable.
- Strong organizational and time-management skills are essential for managing multiple priorities and deadlines.
- Excellent English communication skills: reading, writing, and speaking abilities are required for effective collaboration and communication with clients and team members.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software are necessary for ensuring smooth workflow and data management.
- Ability to work independently and handle multiple tasks with a high degree of accuracy and attention to detail is crucial for delivering high-quality results under pressure.
