Job Title: US Payroll Specialist

Role Overview

The US Payroll Specialist is responsible for managing and processing payroll for US-based employees, ensuring compliance with federal, state, and local regulations.

Key responsibilities include:

  • Processing bi-weekly, semi-monthly, or monthly payroll for US employees in accordance with federal and state wage laws.
  • Maintaining accurate payroll records, including wages, deductions, benefits, garnishments, and bonuses.
  • Reconciling payroll registers, general ledger accounts, and payroll-related balance sheet accounts.
  • Preparing and filing federal, state, and local payroll tax returns, ensuring timely remittance of payroll taxes.
  • Staying up-to-date with IRS regulations, FLSA, and state-specific labor and tax laws.
  • Managing year-end payroll activities, including preparation of W-2 and 1099 forms.
  • Ensuring compliance with company policies and SOX/internal controls.
  • Assisting with audits (internal, external, IRS, DOL) by providing payroll-related documentation.
  • Collaborating with HR on new hires, terminations, and benefit enrollments that affect payroll.
  • Addressing employee payroll inquiries regarding pay, deductions, and taxes.

Required skills and qualifications:

This role requires a strong attention to detail, accuracy, and confidentiality. The ideal candidate will have a Bachelor's degree in Accounting, Finance, or a related field, and at least 2–4 years of US payroll processing and payroll accounting experience.
