Head of Payroll (Permanent Work-from-Home)

Department: Finance – Payroll Reports to: VP Finance Direct Reports: Payroll Officers / Payroll Specialists

About the Role

We are seeking a seasoned and strategic Head of Payroll to lead our payroll operations across multiple pay cycles. This is a permanent work-from-home opportunity ideal for a detail-oriented leader who thrives in a fast-paced, compliance-driven environment gained from global companies preferably from the shared services or professional services industries. You'll oversee end-to-end payroll processes, ensure accurate financial reporting, and drive continuous improvement in payroll analytics and statutory compliance.

Key Responsibilities

Payroll Operations

  • Oversee payroll processing across multiple pay cycles
  • Maintain and update employee master data
  • Validate timekeeping and attendance records
  • Coordinate with HR on employee data changes
  • Manage payroll calendars and cut-off schedules
  • Respond to payroll-related inquiries promptly

Financial & Management Reporting

  • Prepare monthly payroll and benefits journal entries
  • Reconcile payroll accounts and support month/year-end close
  • Provide departmental payroll cost breakdowns
  • Generate payroll cost analysis and trend reports
  • Track overtime and headcount changes
  • Ensure payroll costs reconcile with the general ledger

Compliance & Statutory Reporting

  • Ensure compliance with labor laws and tax regulations
  • Withhold and remit payroll taxes and government contributions
  • Stay updated on payroll legislation and regulatory changes
  • Maintain payroll records in accordance with company policy
  • Prepare and file payroll tax returns and year-end employee tax reports
  • Provide payroll data for government reporting and audits

Audit & Controls

  • Prepare payroll documentation for internal and external audits
  • Ensure segregation of duties in payroll processing
  • Address audit findings and implement corrective actions
Skills & Competencies
  • Graduates of Accountancy or a related finance discipline
  • Strong knowledge of payroll systems, labor laws, and tax regulations
  • Background in ACUMATICA an advantage and other payroll software
  • High attention to detail and numerical accuracy
  • Excellent communication, analytical and reporting skills
  • Ability to manage sensitive data with discretion and integrity
