Job Overview

We seek a skilled Virtual Project Coordinator to ensure seamless execution of our construction projects. This role requires strong organizational skills, project management experience, and attention to detail.

Main Responsibilities:
  • Support with materials procurement, trade partner coordination, and documentation.
  • Manage schedules, budgets, and records to ensure project progress.
  • Capture daily stand-up notes and weekly production meeting minutes.
  • Follow up on assigned tasks and maintain accountability across teams.
  • Prepare scopes of work for trade partners and assist with contract execution.
  • Process invoices, receipts, and financial reconciliations.
  • Create project schedules and Gantt charts for effective planning.
  • Develop project estimates, track expenses, and identify cost-saving opportunities.
  • Generate take-offs for material and labor requirements.
  • Evaluate subcontractor bids and manage contracts with trade partners.
  • Process invoices from trade partners, ensuring timely payment.
  • Communicate with trade partners and implement the construction schedule.
  • Maintain project specification sheets and coordinate with architects as needed.
  • Document and manage orders, work orders, and purchase orders.
  • Coordinate punch lists and construction closeout.
  • Manage lien release waivers for compliance.
  • Assist with supplier sourcing, ordering, and tracking for construction projects.
  • Collaborate with suppliers and vendors for timely delivery and cost-effective procurement.
  • Identify suppliers offering bulk purchasing discounts.
  • Support entitlements, permits, and approvals for construction projects.
  • Promote procedural excellence through metric tracking and process improvement.
  • Proactively address recurring construction issues.
  • Support Director of Construction in managing multiple active projects.
Key Qualifications:
  • Strong organizational and project management skills with attention to detail.
  • Prior experience in construction project management or related field preferred.
  • Familiarity with scheduling tools and Gantt charts.
  • Excellent written communication and note-taking skills.
  • Ability to coordinate tasks across teams and follow up effectively.
  • Experience with Buildertrend software is a plus.
  • Reliability, proactivity, and high collaboration are essential.
