System Workflow Administration
  • Manage and maintain dashboards for projects and spaces.
  • Oversee the Support queue by triaging tickets and assigning resources.
  • Monitor and reinforce team adoption of processes including proper use of statuses, workflows, and updates.
  • Partner with QA to support ticket flow and escalation while maintaining task clarity.
Project Coordination
  • Create and manage project entries in CRM within 24 hours of receipt.
  • Ensure alignment between CRM project records and workflow systems.
  • Flag projects ready for final approval and coordinate communications.
  • Support test site setup for clients (credential creation, user access).
Reporting Documentation
  • Maintain accurate documentation including SOPs, FAQs, onboarding guides, and contracts.
  • Prepare and deliver regular status reports.
  • Assist in compiling metrics for leadership reviews.
  • Produce monthly revenue reports to support operational activities.
Client Notifications
  • Manage communications for standard updates (outages, approvals, reminders, etc.).
  • Coordinate with teams to ensure timely and accurate external messaging.
  • Help establish a support communications identity.

Key qualifications include experience in administrative coordination, project support, or operations. You must have hands-on experience with workflow management tools and be highly organized, detail-oriented, and comfortable managing multiple workstreams. A strong communicator with a proactive, team-oriented mindset is essential.
