Job Description:

An Executive Assistant is required to provide comprehensive support to a senior executive.

The ideal candidate will be responsible for coordinating and booking complex domestic and international travel arrangements, ensuring efficiency and cost-effectiveness.

They will also manage and prioritize the executive's calendar, scheduling meetings, appointments, and calls. Efficient email correspondence management, drafting responses, flagging urgent matters, and organizing the inbox are key responsibilities.

A thorough researcher will conduct research for various personal and professional purchases, identifying optimal solutions, negotiating with vendors, and managing the procurement process from inquiry to delivery.

Administrative tasks include preparing presentations, organizing documents, managing expenses, maintaining organized filing systems (digital and physical), and handling confidential information with discretion.

Supporting light research related to investment opportunities, preparing summary documents, organizing investor materials, and maintaining confidentiality regarding sensitive financial information are additional duties.

Key Skills and Qualifications:

  • At least 5 years of experience as an Executive Assistant supporting senior executives, preferably within a fast-paced environment.
  • Prior experience in Private Equity, Venture Capital, Investment Banking, or a similar financial services environment is highly preferred.
  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant productivity tools.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • A high level of discretion, professionalism, and integrity when handling confidential information.
  • Proactive, resourceful, and able to anticipate needs and act independently.
  • Ability to work flexible hours when required to accommodate executive travel and urgent matters.
