Job Title: Bid Estimator Coordinator

We are seeking a highly organized and proactive professional to support our estimating teams in coordinating all aspects of the bid process—ensuring that proposals are complete, accurate, and submitted on time.

  • Bid Package Management
  • Coordinate and track bid proposals from initiation to submission, ensuring timely delivery of high-quality estimates.
  • Ensure all estimate packages include vendor quotes, subcontractor bids, takeoffs, specifications, and scope clarifications, maintaining transparency throughout the process.
  • Organize files for executive review and maintain consistent folder structures, promoting efficient information management.
  • Solicit and track supplier and subcontractor pricing, providing valuable insights to drive informed decision-making.
  • Maintain and update a bid contact database with key partners, facilitating effective communication and collaboration.
  • Ensure all quotes are documented and properly saved for reference, enabling seamless tracking and analysis.
  • Collaborate with HVAC and Plumbing estimators on bid deadlines and scheduling, streamlining workflows and minimizing delays.
  • Assist with Pinnacle software tracking and document management, leveraging technology to enhance productivity and accuracy.
  • Generate summary bid reports and maintain a bid calendar, providing actionable insights to inform strategic business decisions.
  • Administrative & Compliance
  • Prepare and submit prequalification packages, bid bonds, and forms as required, ensuring compliance with regulatory requirements.
  • Ensure bid records are saved and easily accessible for audit and historical review, maintaining a transparent and accountable approach.
  • Support the implementation of a Delegation of Authority (DOA) process to route bids for internal approvals, fostering a culture of collaboration and trust.
  • Must have prior remote work experience and a proven ability to self-manage in a virtual setting, demonstrating adaptability and resilience.
  • Strong proficiency in Microsoft Excel is a must, with expertise in pivot tables, lookups, formatting, and other advanced functions.
  • Detail-oriented with strong organizational and follow-up skills, able to prioritize tasks effectively and manage multiple projects simultaneously.
  • Excellent written and verbal communication skills, with the ability to articulate complex ideas and build rapport with stakeholders.
