Key Job Responsibilities

An executive support specialist is needed to provide comprehensive administrative assistance to senior leadership, including calendar management, meeting scheduling, and coordination across multiple stakeholders.

The ideal candidate will be able to draft, edit, and format high-quality documents, reports, and presentations using Microsoft Word and other Microsoft Office tools to support proposals, project updates, and internal communications.

Maintaining organized and easily accessible filing systems for contracts, project documentation, and corporate records is also a key requirement of this role.

The successful candidate will manage email and phone correspondence with professionalism and discretion, acting as a liaison between executives, clients, and internal teams.

Project coordination, research and data compilation are also essential skills required for this position.

Requirements
  • Minimum 2.5-5 years of proven experience as an executive assistant, executive administrative assistant, or in a similar high-level administrative role; industry experience in construction management, engineering, or related fields preferred.
  • Advanced skills in Microsoft Word; working knowledge of other Microsoft Office applications including Excel, PowerPoint, Outlook, and SharePoint.
  • Exceptional ability to manage multiple priorities, maintain detailed records, and uphold deadlines in a fast-paced, project-driven environment.
  • Strong written and verbal communication abilities, with the tact and professionalism required for client-facing correspondence.
  • Self-motivated, resourceful, and able to work with minimal supervision while maintaining alignment with executive priorities.
  • Proven track record of handling sensitive information with integrity & adherence to corporate confidentiality standards.
