Job Title: Administrative Support Specialist

This position is responsible for providing administrative support to the HR department. Key responsibilities include recruitment, onboarding, employee discipline and relations, and project reporting.

Key Responsibilities:

  • Sourcing applicants through job boards and other relevant channels to attract qualified candidates.

  • Scheduling and coordinating applicant interviews, including initial screening and technical interviews with line managers.

  • Conducting initial interviews to assess candidate suitability and ensure alignment with job requirements.

  • Accurately encoding applicant data into the recruitment database and HR management system.

  • Preparing and managing documentation for pre-employment processing, ensuring completeness and compliance.

Onboarding:

  • Guiding incoming employees through pre-employment requirements and ensuring timely completion.

  • Coordinating with IT for the creation of email accounts and system access for new hires.

  • Arranging and facilitating company orientation sessions for smooth employee integration.

  • Communicating deployment schedules and onboarding guidelines clearly via email to new employees.

Employee Discipline & Relations:

  • Monitoring employee compliance with company policies.

  • Drafting and issuing memos, notices, and other disciplinary documentation as required.

  • Facilitating administrative procedures related to employee discipline and performance management.

  • Initiating and coordinating administrative hearings to address employee issues or violations.

  • Managing visa processing for employees in coordination with relevant authorities.

  • Serving as the primary contact and maintaining communication with third-party affiliates and service providers.

Project Reporting:

  • Preparing and submitting regular reports including manhour reports, recruitment reports, and project HR reports to relevant stakeholders.

  • Attending bi-monthly operation reporting.

Requirements:

  • More than 5 years of HR experience are required.

  • Exposure to hiring equity rules and labor law.

  • Effective people management and HR administration abilities.

  • A comprehension of payroll procedures.

  • Full knowledge of HR procedures and best practices.

  • Outstanding verbal and written communication abilities.

  • Able to handle pressure and meet deadlines.

  • Highly proficient with computers, including MS Office, email, and other business and communication tools.

  • Excellent planning and time-management abilities.

  • Strong ability to make decisions and solve problems.

  • Meticulousness in details.

  • The capacity to precisely follow directions.
