This position is designed to support the operational efficiency of a legal team by providing essential administrative and operational assistance.
The ideal candidate will be responsible for managing internal records, scheduling, and client conflict resolution. Your role will be crucial in ensuring effective communication within the team and maintaining operational efficiency.
Responsibilities include performing various operations support tasks, providing comprehensive support to the legal team, and assisting with implementing and improving operational processes and workflows.
- Perform operations support tasks such as record management, training scheduling, and fortnight scheduling and reporting.
- Provide administrative assistance, coordination of tasks, and ensure smooth day-to-day operations.
- Assist with implementing and improving operational processes and workflows.
- Conduct internal records review, including regular reviews of internal records to ensure accuracy, completeness, and compliance with company policies and legal requirements.
- Coordinate and schedule training sessions for staff members.
- Manage and prepare fortnightly schedules and reports, including tracking progress on key initiatives and summarizing operational activities.
- Track and manage client conflict resolution efforts, including recording issues, monitoring resolution progress, and ensuring that conflicts are resolved in a timely and effective manner.
To be successful in this role, you will need:
- A minimum of 2 years of experience in a legal or administrative support role.
- Associate's degree in Business Administration, Legal Studies, or a related field is preferred but not required.
- Experience in operations support, record management, or client service is a plus.
- Relevant certifications in administrative support or legal assistance are a plus.
- Proficiency in office software (e.g., MS Office, Google Workspace).
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Detail-oriented with strong problem-solving abilities.
